About this Opportunity:

The Program Assistant is to provide ongoing academic administrative support to ensure the effective delivery of all SHHS courses, including VET and Higher Education. The role works closely with the Directors of Studies, SHHS Administrator, SHHS team and Faculty Operations team to ensure effective systems supporting College operations.

Program Assistant

  • Work with Head of School, Directors of Studies, and other staff to ensure effective systems for course delivery
  • Provision of administrative and technical support for permanent and sessional faculty in the delivery of subjects.
  • Provision of technical support for students
  • Deliver administration functions including the use of AC Student Management System (Quercus), Learning Management System (Moodle) and Faculty Operations system (Coda)
  • Coordination with Subject Coordinators to develop and organise subject content.
  • Ensure the completion of administrative tasks required pre, mid and post course delivery
  • Communicate with and support teaching and tutoring staff with resources required for course delivery.
  • Administrative duties to ensure systems are maintained, e.g., Moodle shells are updated and maintained
  • Ensure preparation of requirements for intensives
  • Coordination with the Information Technology (IT) team and Office of Digital Learning (ODL) to develop subject sites for face-to-face and online subjects.
  • Coordination with the Library team to coordinate and implement relevant sources.

Support for School of Health and Human Sciences

  • Liaise with Administrator and Directors of Studies regarding systems and tasks requiring development and maintenance
  • Support the ongoing work of the HHS team
  • Liaise with other HHS staff to ensure effective communication and collaboration with the team

Other duties

  • Actively participating in College community life
  • Representing the College to the Christian and Academic communities and general public as opportunity and occasion warrant
  • Fulfil other duties as required by supervisor.

Required Skills and Proficiencies:


  • Completion of a Bachelor from an Australian university or other recognised Australian or international institution of higher education; candidates without a degree and with strong academic administration experience will be considered;
  • Commitment to the Christian faith that informs one’s professional and personal choices and commitments;


  • Evidence of successful administration in higher education
  • Demonstrated initiative and excellent organisation.
  • High level of computer skills and passion for developing procedures and systems to meet a rapidly expanding faculty.
  • Highly developed multi modal communication skills with excellent telephone manner and proven people skills.
  • Ability to work independently and collaboratively.
  • Experience and existing networks in education are an advantage.
  • Experience in working with students


  • Understanding of Australian higher education framework and standards
  • Understanding of course structure and requirements of AC’s undergraduate and postgraduate programs in relevant School
  • Understanding of pathways to and from AC’s postgraduate programs in relevant School

Skills & Competencies

  • Ability to communicate clearly and effectively with faculty, administrators, and external stakeholders where relevant
  • Ability to communicate effectively with students and provide relevant information and support as required
  • Excellent administrative skills
