LMS Administrator

About this Opportunity:

The LMS Administrator has primary responsibility for ongoing technical management and vendor management of one or more key AC Digital Learning platforms, including upgrades and continuous improvement, to achieve optimal business Return on Investment for those platforms.

The current primary focus of this role is the AC Learning Management System (currently Moodle), and associated systems (currently including TurnItIn, Echo360, and Intercom), with shared responsibility for the AC Integration solution (Jitterbit) that integrates Moodle with the AC Student Management System

Over time there may be an opportunity to extend the scope of the role to other key AC platforms.

AC Moodle is currently hosted on-premise, but the associated systems use a variety of (cloud-based) Software as a Service hosting models, and this role requires expertise in a number of different hosting approaches.

Working in close collaboration with IT, the role requires demonstrated understanding of and experience in the management of Moodle or other equivalent Learning Management System, a broad knowledge of IT Service Management / ITIL processes (particularly Incident and Change) and aligning technology solutions with business requirements and value. The role works with AC Application Support Analysts to use complementary skill sets for high quality management of the overall AC Application environment.

Extensive interaction with the business owners of and key stakeholders in Moodle (Ditigal Learning Services, the Academic community, Student Services) is required. Frequent interaction with all other key stakeholders and users of the Student Management System will be involved – primarily staff, although some student contact will be involved.

Responsibilities:

System Administration:

  • Install, configure, and maintain AC’s Learning Management System with support from AC IT.
  • Ensure the LMS is up-to-date with the latest stable software versions and patches.
  • Monitor and optimize the performance of the LMS, including identifying and addressing issues that may affect speed and responsiveness with support from AC IT.

User Management:

  • Create and manage user accounts, including all roles and premissions.
  • Troubleshoot and resolve account-related issues, such as password resets and account permissions.

Course Management:

  • Create and manage courses within established course categories.
  • Assist instructors in managing courses with their designated categories.

Integration

  • Integrate the LMS with other organisational systems, tools, or applications as needed.
  • Install, update, and configure appropriate and compatible plugins to extend Moodle's functionality.

Data Management:

  • Monitor and manage data within the LMS, including user analytics and other relevant metrics.
  • Generate reports to assist users in analysing usage and performance data.

Technical Support:

  • Provide technical support to all LMS users
  • Troubleshoot and resolve issues which impact the LMS’s functionality.

Training and Documentation:

  • Provide training and professional development support to all LMS users.
  • Create and maintain documentation for system administrators and all users.

Security and Compliance:

  • Implement security measures to protect sensitive data within the LMS with support from AC IT.
  • Ensure compliance with relevant data protection and privacy regulations with support from AC IT.
  • Set up regular backups of the Moodle database and files with support from AC IT.
  • Manage restoration processes to ensure data recovery when needed with support from AC IT.
  • Ensure that the LMS set up complies with relevant regulations and policies with support from AC IT.

Quality Assurance:

  • Test new features, updates, and patches to identify and address any issues.
  • Conduct quality assurance checks to ensure the LMS meets optimal performance standards with support from AC IT.

Customization and Enhancement:

  • Customize the LMS with the use of appropriate themes for an elegant, consistent and easy to navigate user interface which also aligns with AC’s branding and values.
  • Collaborate with developers and vendors to ensure the LMS is maintained in line with its the latest updates, patches, and new features.

Strategy

  • Work with relevant stakeholders to define a strategy/ roadmap for AC’s learning technology ecosystem.

Projects

  • Deliver projects in the learning management space on schedule, to budget and agreed levels of quality.

Required Skills and Proficiencies:

  • Undergraduate degree, ideally with strong business and/or IT component, is essential
  • Commercial experience in Moodle or equivalent LMS application management, including associated systems, is essential
  • Commercial experience in scripting & database management (PHP, Javascript & MySQL or equivalents), is essential
  • Experience using key ITSM / ITIL processes is desirable but not essential
  • Understanding of and commercial experience in both cloud and on-premise hosting models and SaaS vendor management
  • Broad, holistic understanding of how IT is used to support and enable mission critical business activities
  • Broad understanding of the tertiary education sector desirable but not essential
  • Demonstrated success in internal customer service and relationship management
